Creating an Event

Learn how to create and configure events for your church using the multi-step event form.

Events are at the heart of church life. This guide walks you through the multi-step event creation wizard, covering everything from basic info to settings and organizer assignment.

Getting Started

1

Open the Events page

Navigate to your organization's . You will see a calendar view of all upcoming events.
2

Click Create Event

If you have permission to create events, a Create Event button appears in the top-right area of the Events page. Click it to open the event creation wizard. You can also click the + icon on a specific date in the calendar to pre-fill that date.

Note

You must be logged in and have the events.create permission to see the Create Event button.

Step 1: Basic Info

The first step collects the core identity of your event.

1

Event Title (required)

Enter a descriptive name for your event. This is the only required field in this step, and the wizard will not let you proceed without it.
2

Event Type

Choose the type that best describes your event. Options include:
  • VBS (Vacation Bible School)
  • Fundraiser
  • Community Outreach
  • Holiday Service
  • Youth Event
  • Concert/Performance
  • Fellowship Event
  • Board Meeting
  • Recurring Service (for regular weekly services)
  • Other Event
The event type affects certain behaviors. For example, VBS and children's events support per-day schedules for multi-day spans.
3

Visibility

Choose who can see this event:
  • Public - visible to everyone, including visitors who are not logged in.
  • Private - only visible to organization members who are signed in.
4

Location

Enter the event location using the address input. The form defaults to your organization's address for new events. Coordinates are captured automatically for map display.

Step 2: Date and Time

Configure when your event takes place.

1

Start and End dates

Pick the start and end dates using the calendar pickers. If you opened the form from a specific calendar date, that date is pre-filled.
2

Start and End times

Set specific start and end times for your event. If you check the All day event option, the time pickers are hidden.

Tip

For multi-day VBS or children's events, a Daily Schedule section appears automatically. You can set default start and end times that apply to every day, and then customize individual days with different times or notes (e.g., "Water day").

Step 3: Details

Add descriptions and imagery to make your event stand out.

1

Short Description

Write a brief summary (up to 100 characters) that appears on event cards and list views.
2

Full Description

Use the rich text editor to write a detailed description. The editor supports formatting, links, and inline images (with an active subscription).
3

Cover Image

Upload a cover image for the event. A 16:9 aspect ratio (1920x1080) is recommended for best display.

Note

Cover image uploads and inline description images require an active subscription. The upload button will be disabled without one.

Step 4: Settings

Configure behavior, eligibility restrictions, and live streaming.

RSVPs

1

Enable RSVPs

Toggle RSVPs on to allow people to register for the event. When enabled, additional options appear.
2

Guest Limit

Set a maximum number of attendees. Leave blank for unlimited capacity. When the guest limit is reached, new registrations are automatically placed on a waitlist.
3

RSVP Deadline

Optionally set a cutoff date after which RSVPs are no longer accepted (unless late registration is enabled).
4

RSVP options

Fine-tune registration behavior with these toggles:
  • Public attendee list - show who's attending on the event page.
  • Require verification - require phone or email verification to RSVP.
  • Late registration - allow sign-ups after the RSVP deadline passes.

Eligibility Restrictions

You can restrict who is eligible to register. Choose between two modes:

1

By Age

Set a minimum and/or maximum age in years.
2

By Grade

Set a minimum and/or maximum completed grade level. This is especially useful for children's and youth events.

Live Stream

Paste a YouTube URL to add a live stream link to the event page.
