Setting Up VBS

Create a VBS event with daily schedules, grade restrictions, and RSVP registration.

Vacation Bible School (VBS) is one of the biggest events many churches run each year. The VBS module gives you everything you need to manage registration, organize kids and volunteers into groups, run a donation competition, handle check-in and check-out safely, and print name badges.

Creating a VBS Event

VBS events are created through the standard event creation wizard with a few important differences. When you select VBS as the event type and set a multi-day date range, special features unlock automatically.

Select VBS as the event type

On the , click Create Event. In the first step, enter your event title (e.g., "Stellar VBS 2026") and select VBS (Vacation Bible School) as the event type. Set visibility to Public so families can find it.

Daily Schedule

When you set a multi-day date range (2-14 days) for a VBS event, a Daily Schedule section appears automatically. This replaces the standard start/end time fields and lets you configure each day individually.

Set the date range

Pick a start date and an end date that spans your VBS week. For example, Monday through Friday for a 5-day VBS. The daily schedule generates one row per day automatically.

Set default times

Use the Default times fields at the top to set the start and end time that applies to every day. For example, 9:00 AM to 12:00 PM. Changing these updates all days that have not been individually customized.

Add per-day notes

Each day has a notes field where you can describe what happens that day — for example, "Opening Ceremony," "Water Day," or "Closing Celebration." These notes help volunteers and parents plan ahead.

Customize individual day times (optional)

If a particular day runs at different times, edit that day's start or end time directly. A Reset button appears next to any day you customize, letting you revert back to the default times.

RSVP and Registration Settings

VBS events typically need RSVP enabled so families can register their children. The settings step lets you configure registration rules.

Enable RSVPs and set limits

Toggle RSVPs on to open registration. Optionally set a Guest Limit for maximum capacity and an RSVP Deadline to close registration before VBS starts.

Set grade restrictions

Under Eligibility Restriction, switch to the By Grade tab and set a minimum and maximum completed grade. For example, Kindergarten through 5th Grade. Only children within this range will be eligible to register.

Tip

You can also restrict by age instead of grade using the By Age tab. Choose whichever method works best for your church's VBS.

Review and Create

Review and publish

The review step shows a summary of your VBS event including the full daily schedule with per-day times and notes, grade restrictions, and RSVP settings. Click Create Event to publish.

Navigate to VBS admin

After creating the event, go to the event's VBS admin area. The admin organizes everything into sections: Overview, People (Registrations, Messaging, Groups, Roles, Analytics), Event Day (Check-ins), and Competition (Donations, Settings).

Tip

Open registration several weeks before VBS starts. This gives families plenty of time to sign up and gives your team time to plan group sizes and volunteer assignments.
