Managing Recurring Services

Learn how to manage your church's recurring weekly services after initial setup, including editing times, adding new services, and cancelling individual occurrences.

Services are the recurring weekly events that represent your regular worship gatherings, such as Sunday morning worship or Wednesday evening Bible study. They are created during initial setup and appear automatically on your events calendar and public website every week.

What Are Services?

A service is a special type of recurring event that repeats on the same day and time every week. Unlike one-off events, services are generated automatically on the calendar so you do not need to create a new event each week. Services are created with the Recurring Service event type and have a weekly recurrence rule attached.

Key characteristics of services:

  • They repeat weekly on a fixed day and time.
  • They appear on the public events calendar for visitors.
  • Service times are displayed on your organization's landing page, helping visitors know when to attend.
  • Each weekly occurrence can be individually cancelled without affecting future weeks.
  • Attendance can be tracked per occurrence.

Editing a Service

You can change a service's name, time, location, or other details at any time through the event edit form.

Open the Events page

Navigate to your organization's from the main navigation. You will see all events, including recurring services, on the calendar.

Find the service on the calendar

Locate the recurring service you want to edit. Services appear on the calendar on their scheduled day each week. Click on a service occurrence to open its detail view.

Click Edit

On the event detail page, click the Edit button. This opens the multi-step event form pre-filled with the service's current settings.

Update the details

Modify any fields you need to change:
  • Title - rename the service (e.g., from "Sunday Worship" to "Sunday Morning Service").
  • Date and Time - adjust the start or end time.
  • Location - update the address if the venue changes.
  • Visibility - switch between public and private.

Save your changes

Review the updated details and click Save. Changes apply to the recurring series going forward.

Note

You need the events.edit permission to modify services. Contact your organization administrator if you do not see the Edit button.

Adding New Services After Setup

The initial setup wizard lets you define your first services, but you can add more at any time using the standard event creation flow.

Go to the Events page

Navigate to your organization's Events page.

Click Create Event

Click the Create Event button in the top-right area of the calendar.

Select "Recurring Service" as the event type

In the first step of the event form, set the Event Type to Recurring Service. This tells the system to treat it as a weekly repeating event.

Configure the service details

Fill in the service name, day, start time, end time, and location. Set the Visibility to Public so it appears on your website for visitors.

Complete the remaining steps

Continue through the event creation wizard. You can optionally add a description, cover image, and assign organizers. When ready, click Create Event on the review step.

Tip

If you are adding a midweek service such as Wednesday evening Bible study, set the day to Wednesday and the appropriate evening time. The service will begin appearing on the calendar immediately.

Cancelling Individual Occurrences

Sometimes you need to cancel a single week's service without removing the entire recurring series. For example, you might cancel services for a holiday week or inclement weather.

Find the occurrence on the calendar

Navigate to the Events page and locate the specific date of the service you want to cancel.

Open the cancel dialog

Click on the service occurrence, then look for the Cancel Occurrence option. This opens a confirmation dialog.

Provide a reason (optional)

You can enter a reason for the cancellation, such as "Holiday week" or "Inclement weather." This reason is included in the notification sent to subscribers.

Confirm the cancellation

Click Confirm to cancel that single occurrence. Subscribers who have notification preferences enabled will receive a push notification about the cancellation.

Tip

If you cancel an occurrence by mistake, you can reinstate it. Open the cancelled occurrence and use the Reinstate option to restore it to the schedule. A notification will be sent letting subscribers know the event is back on.

How Services Appear on Your Public Website

Services are prominently featured on your organization's public landing page and events calendar:

  • Landing page - Service times are displayed automatically so visitors can see when your church meets at a glance. If a service is currently live, a livestream indicator may appear.
  • Events calendar - Each weekly occurrence shows on the public calendar. Visitors can click into a service to see its details, location, and any attached livestream link.
  • Plan a Visit - Service times help visitors plan when to attend for the first time.

Note

Only services with Public visibility appear on the public website. If a service is set to Private, only signed-in organization members can see it.

Deleting a Service

If your church discontinues a regular service, you can delete it entirely.

Open the service for editing

Navigate to the service on the Events page and click Edit.

Delete the event

In the event edit form, use the Delete action. This removes the entire recurring series, including all future occurrences.

Warning

Deleting a service removes it permanently. If you only need to skip a single week, use the Cancel Occurrence feature instead of deleting the entire series.
