VBS Dashboard

View and manage all your VBS events from a single dashboard with setup guidance, stats, and grade warnings.

The VBS Dashboard is your home base for managing all Vacation Bible School events. It shows setup guidance, event stats, registration counts, and alerts you when children have outdated grade information that could affect group assignments.

Overview

The dashboard displays three stat cards at the top summarizing your VBS program:

  • Total Events — The number of VBS events you've created
  • Total Registrations — Combined registration count across all events
  • Upcoming Events — Events that haven't started yet

Below the stats, each VBS event appears as a card showing its status badge (Upcoming, Active, or Past), registration count, title, and date range. Each card has quick actions:

  • Manage — Opens the VBS admin dashboard for that event
  • Public — Opens the public event page families and volunteers see
  • More actions — Lets users with edit access update the event or clone it for another season

Creating a New Event

Click Start VBS Setup

Click the Start VBS Setup button at the top of the dashboard to start the event creation wizard.

Follow the setup wizard

The wizard walks you through configuring dates, daily schedules, grade restrictions, and registration settings. See the Setting Up VBS article for detailed instructions.

Tip

New VBS events default to one week out with a 5-day span, giving you a head start on the daily schedule configuration.

Getting Started Checklist

When your most recent VBS event still needs setup work, a getting started checklist appears on the dashboard. It points you toward common next steps such as adding a cover image, creating a group, editing the donation challenge, adding custom form fields, uploading photos, and defining volunteer roles.

Note

You can collapse or skip the checklist and come back later. Completing the checklist does not change registration data.

Stale Grade Warnings

When children across your grade-mode events have missing or outdated grade information, an amber warning banner appears at the top of the dashboard. Stale grades can lead to incorrect group assignments during auto-assign.

Review the warning

The banner shows how many children have outdated grade information. Review this count to understand the scope of the issue.

Update grade information

Navigate to the to update children's grade information. Accurate grades ensure children are placed in age-appropriate groups.

Note

The stale grade warning spans all your VBS events, not just one. Fixing a child's grade information resolves the warning for every event they are registered in.

Permissions

Viewing the VBS Dashboard requires the events.view . Starting a new VBS requires the events.create permission. Editing or cloning an existing VBS requires the events.edit permission.
